CAMP 2025 TERMS & CONDITIONS
Sport Physical Requirement
Each camper will be required to provide a valid sports physical form signed by a licensed medical professional. The physical must have been completed between July 18, 2024 and July 1, 2025.
The sports physical completed for school sports requirements is acceptable if:
it falls within the above dates
your child has NOT experienced a major medical event
A new updated sports physical is required if:
their last sports physical was before July 18, 2024
your child has experienced a major medical event since the last physical
your child experiences a major medical event between the time of registration and July 13, 2025
There are no exceptions to this policy.
Major medical events include ANY of the following:
Any clinically significant medical histories with implications for ongoing care: seizures, diabetes, depression, anaphylactic reactions, torn ligament, injuries for which camper is still being treated, etc.
Development of new conditions: asthma, POTS, PTSD, shin splints, etc.
Any significant illness or injury the camper sustained and did NOT receive medical care.
Any significant illness or injury the camper sustained and did NOT receive clearance for return to play by a qualified medical professional.
This is not an exhaustive list. If you know your camper experienced a significant health-related event in the past year, please have them cleared by a physician before attending camp.
You will receive a supplementary form from Ultimate Defender that must also be signed by your licensed medical professional - it will include the information below about the rigors of camp for the approval of the physician, and space for a complete medical history (immunizations, medications, etc.). You will receive this form by May 1, 2025. It must be completed and returned by June 15, 2025, unless you are resubmitting due to a change in health or a major medical event that occured on or after June 15.
Acknowledgement of Camp Rigor
When determining if this camp is appropriate for your child, know that each full camp day requires the athletes to be on the field for 7.5+ hours. That is 7.5 hours of strenuous activity at the peak of summer on a synthetic turf field. Goalkeeping is inherently a “contact sport” with collisions with the hockey ball, hockey sticks, the ground, and sometimes other people. Consider the athlete’s ability to tolerate heat and manage hydration, endurance, overall fitness and conditioning, flexibility, previous or nagging injuries, asthma, medical conditions that increase susceptibility to dislocations or fractures, surgeries or implants that prohibit full range of motion in certain joints, overall heart health, and history of multiple previous concussions. This is not an exhaustive list of considerations – it is a sampling of considerations where deficits could prohibit participation.
With the intense level of activity each day, please also consider your child’s comfort eating in a dining hall. Most dietary restrictions are accommodated in the facility, but we cannot guarantee we will have all of their favorite foods. Your child must eat while they are at camp. If your child is unlikely to fuel their bodies properly at camp, this is not the event for them. Additionally, exceptional dietary requirements (ex: Celiacs) are not easily accounted for in this dining facility; these campers may bring their own prepared meals which will be stored for them.
Registration for this camp acknowledges the parent(s)/guardian(s) of the camper has full confidence that the camper has the mental, physical, and emotional capacity to participate in our programing. Should the sports physical or medical history reveal that the camper is ineligible due to health limitations, only a partial refund will be offered. If you are unsure if your child is able to participate safely, please consult a licensed medical professional BEFORE registering for camp.
Camper Conduct
Ultimate Defender Goalkeeper Academy Camp is a utopia for goalies. It is a safe space for all athletes to be who they are, work through new skills without judgement, and experience mutual respect at all times. We acknowledge that we are working with teenagers and that they have much to learn about life, interacting with others, and making good decisions. That said, we have zero tolerance for racism, sexism, bigotry, cruelty of any kind, threatening language or behaviors, physical or sexual harassment or abuse, theft or destruction of property, or behaviors that threaten the safety of others. Behaviors or actions that fall into these categories are grounds for dismissal from camp without refund. Parents will be notified immediately and will need to make arrangements to pick up/arrange for transportation for the camper.
Cancellation
We hire coaches for you on a per-registration basis. Your registration triggers per-camper expenses and a hiring process with a guaranteed salary. We will not un-hire coaches because of cancellations - their expenses must be covered. If you must cancel your commitment to attending camp, we need time to allow other campers to take your place and cover our costs. To ensure that we are able to secure the very best staff, our refund policy for camp is as follows:
Camp 2025 registration is fully refundable through April 30th, 2025.
Between May 1-June 30th, 2025, 50% of your tuition may be refunded.
As of July 1, 2025, we can only guarantee 20% of your tuition will be refunded.
To cancel your registration, please email: gkcoach@ultimatedefendergk.com.
While we will consider last minute cancellations on a case-by-case basis, please understand the formula described above. We always strive to be empathetic (sh*t happens!) but timing and logistics may make it impossible for us to make an exception to the cancellation policy.
